Personal data that we process

Nieuwspoort processes your personal data because you use our services and/or provide this data to us yourself.

Below you will find an overview of the personal data that we process:

  • First and last name
  • First and last name
  • Gender
  • Date of birth
  • Private and business address details
  • Company name and position
  • Private and business telephone numbers
  • Private and business email addresses
  • Passport photo for the Poorterschap membership: for purposes of granting access (verification) visible in membership records and the POS system.

CCTV has been installed in the corridor of Nieuwspoort for the safety of visitors, staff and members of Nieuwspoort. The camera images are automatically overwritten after five days.

With permission from the organisation, image and/or sound recordings may be made at public meetings in the Nieuwspoort rooms. When entering a public meeting in one of the Nieuwspoort rooms, material in which the audience is visible may therefore be published. When purchasing the ticket, you can also read this in the terms and conditions.

The private association of Nieuwspoort is an informal and exclusive meeting place for so-called ‘Poorters’, i.e. Nieuwspoort members. The Nieuwspoort code applies and only Poorters have access to the private association.

Special and/or sensitive personal data that we process

Our website and/or service does not have the intention of collecting data about website visitors under the age of 16. We cannot always verify whether a visitor is 16 years or older. We therefore recommend that parents are involved in the online activities of their children to prevent data about children being collected without parental consent. If you are convinced that we have collected personal data about a minor without parental consent, please contact us via secretariaat@nieuwspoort.nl, and we will remove this information.

For what purpose and on what legal ground we process personal data

Nieuwspoort processes your personal data for the following purposes:

  • Processing an application for the Nieuwspoort Poorterschap / membership
  • Processing an application for the Nieuwspoort Poorterschap / membership
  • Sending our newsletter and/or advertising leaflet
  • Sending invoices to our Poorters / members or to companies with regard to room hire
  • Processing a ticket ordered through our website
  • Calling you or sending you an email if this is necessary for the provision of our services
  • Nieuwspoort also processes personal data if we are under a legal obligation to do so, such as (personal) data we require for our tax return.

Automated decision-making

Nieuwspoort does not take any decisions based on automated processing operations on matters that may have (significant) consequences for individuals. This concerns decisions that are taken by computer programs or computer systems without any intervention by a human being (for example, a Nieuwspoort employee). Nieuwspoort uses secured computer programs and computer systems.

How long we retain personal data

Nieuwspoort will not retain your personal data for longer than strictly necessary for achieving the purposes for which your data is collected. We use the following retention periods for the following (categories of) personal data:

Sharing of personal data with third parties

Nieuwspoort does not sell your data to third parties and only provides it if this is necessary for the performance of our agreement with you or for compliance with a legal obligation. We conclude a processing agreement with companies that process your data on our instructions to warrant the same level of security and confidentiality of your data. Nieuwspoort remains responsible for these processing operations.

On its site www.nieuwspoort.nl, Nieuwspoort only uses cookies relating to the safety of the site and no cookies for marketing purposes.

Access to, adjustments to or removal of data

You have the right to access, rectify or remove your personal data. In addition, you have the right to withdraw any consent you gave for the data processing or object to the processing by Nieuwspoort of your personal data, and you have the right to data portability. This means that you can submit a request to us to send a computer file with the personal data we have of you to you or to forward it to another organisation named by you.

You can send a request for access, rectification, removal or transfer of your personal data or a request for withdrawal of your consent or your objection to the processing of your personal data to secretariaat@nieuwspoort.nl. Before we remove any data, all amounts outstanding have to be paid by you.

To be sure that the request for access was made by you, we ask you to send a copy of your identity card along with your request. Black out your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (Dutch BSN) in this copy to protect your privacy. We will respond to your request as soon as possible, but in any case within four weeks.

Nieuwspoort would also like to point out to you that you have the option of lodging a complaint with the national supervisory authority, the Dutch Data Protection Authority.

How we secure personal data

Nieuwspoort takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration. If you feel that your data has not been secured properly or if there are any indications of abuse, please contact our secretarial office via secretariaat@nieuwspoort.nl.
